Die Kantonale Heilmittelkontrolle Zürich is the supervisory and licensing authority for the medicinal products sector. As a cantonal and partly regional competence center, it monitors the manufacture and wholesale of medicinal products as well as the dispensing of medicinal products. It issues the necessary licenses for medicinal product companies as well as for medical and healthcare professionals.
We are looking for our Bewilligungen & Sekretariat department as of 1 November 2026 or by arrangement for an Administrative Assistant 100%.

Your tasks ###

• Administrative work (mail processing, invoicing, file management, providing telephone information as well as correspondence with internal and external customers)
• Independent processing of license and registration applications
• Maintenance of master and license data in the specialist applications Evidence and Sirona
• Processing of medicinal product returns
• Collaboration in the introduction of new digital processes as well as in the maintenance of the management system
• Assumption of special tasks (e.g., structuring and maintaining the physical file landscape, shipping and administration of narcotic prescription blocks)

Your profile ###

• completed commercial vocational training EFZ
• several years of professional experience in clerical work and/or administration
• IT-savvy and proficient with Microsoft 365, precise, efficient and independent way of working, flexible, resilient and service-oriented
• quick comprehension, high commitment and ability to work in a team
• good communication skills and stylistically confident German
